Create a work order
Raise a new job from the work orders page — the fields, the defaults, and what is decided at creation.
Creating a work order is where a job starts. You give it a client and a few details, and it joins the list ready to take positions. Only admins and moderators can create work orders.
Before you start, you need at least one client to raise the job against, and your financial data set up so the job is priced in the right currency. Both are covered in Getting Started.
Opening the form
Select Work Orders in the sidebar, then the New work order button at the top of the list. A panel slides in from the right with the form. If you have no jobs yet, the empty list offers the same button.
Filling it in
Most fields arrive with a sensible default, so a straightforward job needs only a client.
Number
Filled in for you as the next number after your highest job. It is assigned automatically and cannot be changed.
Client
The one field you always set. Open the picker and start typing to find the company, then select it. Only companies you have already added appear here.
Status
Starts at Received. Set it to Offer Sent instead if you are quoting before the job is confirmed.
Priority
Starts at Medium. Raise or lower it to say how soon the shop should pick the job up.
Deadline
Starts fifteen days out. Pick a different date if the job is due sooner or later.
Use VAT
On by default, at your default VAT rate. Turn it off for a job that should not be taxed.
Submit the form and the job is created and added to the list. A message confirms it. You can close the panel with Cancel at any point before then.
What is decided here
Two things are fixed at creation and taken from your financial settings, not asked on the form:
- The currency the job is billed in, copied from your default currency.
- The VAT rate, copied from your settings when Use VAT is on.
Currency is copied, not linked
A work order keeps the currency it was created with. Changing your default currency later does not update jobs that already exist. Make sure your financial settings are right before you start creating work orders.
Plans limit how many you can create
Work orders count against a monthly allowance that depends on your plan. If you have reached it, the form tells you instead of creating the job. The Usage page shows where you stand.
